Introducing Account Switching & Delegation: Empowering Your Team to Manage Your Dashboard
As a freelancer or small business owner, you wear many hats: creator, marketer, accountant, and administrator. There simply isn’t enough time in the day to personally handle every detail of your workflow, especially as your business expands.
That’s why we’re thrilled to unveil the new Account Switching & Delegation feature on Freelancer Dashboard. With this addition, you can seamlessly grant a trusted team member, such as an assistant, bookkeeper, or agency partner, access to manage your dashboard while maintaining the security and integrity of your account. Here’s a look at how it works and why you may want to take advantage.
Why Account Delegation Matters
Imagine you’re a busy freelance designer juggling multiple ongoing projects. You need to maintain your assignment tracker, update client rates, and process invoices—tasks that can consume hours each week. Meanwhile, you also want to focus on delivering creative work and nurturing client relationships. By delegating day-to-day dashboard management to a trusted aide, you free up your time to focus on high-value activities.
Account delegation allows you to:
- Offload Routine Tasks: Assigning basic administrative duties, such as updating client information, marking assignments as submitted, or generating invoices, can be delegated to someone else, allowing you to concentrate on core business functions.
- Maintain Data Security: A delegate sees and interacts with your assignments, clients, and invoices exactly as you would, but they do not gain access to your settings (e.g., change membership level or view your complete profile). Delegation ensures proper boundaries, protecting your account’s sensitive settings.
- Streamline Team Collaboration: Whether you have an in-house assistant or hire a remote bookkeeper, granting them direct access to the correct account eliminates the need for back-and-forth emails or file sharing. They can log in and work as though they are you, only when necessary.
How the Feature Works
Under the hood, Account Switching & Delegation relies on three coordinated pieces:
- Inviting a Team Member
- From your “Account” page, click “Invite Team Member.”
- Enter the email address of the person you want to delegate to. If they already have a Freelancer Dashboard account, they immediately gain “Read/Write” access to your data (clients, assignments, invoices, etc.).
- If they don’t yet have an account, an invitation email is sent containing a secure link. Once they register and confirm their account, they’ll automatically gain access.
- Account Switcher Dropdown
- Once delegation is in place, a new dropdown menu appears above the main navigation (above “Dashboard”).
- This dropdown lists “My Account” (your own user) and any delegators (e.g., “Jane Doe’s Account”) whose data you can manage.
- Simply select a name, hit “Switch,” and you’re instantly viewing that user’s dashboard—complete with their clients, assignments, invoices, and reports. Switching into a delegated account keeps you within the same browser session; there’s no need to log out and back in.
Who Stands to Gain the Most
While the ability to hand off tasks can benefit practically any user, here are a few common scenarios:
- Freelancers with Virtual Assistants: Delegate your admin assistant to log assignments, update client rates, or generate invoices on your behalf. They’ll work directly in your account—no screenshots or password sharing required.
- Agencies Managing Multiple Freelancer Accounts: If you oversee a network of freelancers, each team member can delegate access to a centralized back-office operator. That person can toggle between client‐specific dashboards to review performance metrics, handle billing, or update invoices for the entire team.
Solo Entrepreneurs Who Hire Bookkeepers: Your bookkeeper can seamlessly access your dashboard data, run revenue reports, and export invoices for reconciliation. They’ll view exactly what you see, avoiding manual exports and re-entries. - Growing Teams with Internal Collaborators: As your operation expands, you may hire project coordinators or support staff. Grant them access to the appropriate account, so they can keep assignments on track while you maintain oversight.
Step-by-Step: Enabling Account Delegation
- Navigate to “Account” → “Team Members & Delegates”
On the left-hand menu, click “Account,” scroll to “Team Members & Delegates,” and hit “Invite Team Member.” - Enter Delegate’s Email: Provide an email address. If the user already exists, they’ll instantaneously appear as an active delegate; otherwise, an invite email is sent.
- Delegate Accepts Invitation: Upon clicking the invite link (or immediately, if they were already registered), the delegate automatically sees your account name in their account-switcher dropdown.
- Switching Into a Delegated Account: Click the dropdown above “Dashboard” and select the desired account. The entire UI context shifts—you’re now “in” their account, with their clients, assignments, invoices, revenue reports, and calendar feed. Work as usual, then switch back when done.
Best Practices & Tips
- Limit Delegation Scope: Delegates have full read/write access to assignments, clients, and invoices. However, they cannot modify membership, profile settings, or delete accounts. If you’re handing access to an intern or temporary assistant, make sure they understand these boundaries.
- Revoke Access at Any Time: In your “Account” → “Team Members & Delegates” section, click “Remove Access” next to any delegate’s name. This instantly resets their access, ensuring that no lingering permissions remain.
- Audit Your Sharing List: Periodically review team member activity to determine who updated client rates. Which invoices were sent by a delegate? This transparency can help you maintain clean records and ensure accountability.
- Combine With Calendar Feed: Delegates can also see your calendar feed, automatically synced with Google Calendar or other platforms. Their updates to deadlines or assignments will reflect in your own calendar.
